NIE CERTIFICATES

NIE

What is a NIE number?

The NIE, or Número de Identificación de Extranjero, is a unique tax and identification number issued to non-Spanish nationals by the Spanish National Police. It’s essential for almost any official, legal, or financial process in Spain, whether you’re here for a short visit or making a permanent move.

Once issued, your NIE number is yours for life. Modern NIE certificates no longer have an expiry date (unlike older versions, which were valid for just three months). The document comes as an A4 paper certificate, not a card, and includes your full name, the unique NIE number, and the date of issue.

At Gascon Bernabeu, our team of English-speaking solicitors in Spain provide a fixed-fee NIE service with no need for you to travel to Spain. We can arrange the entire process remotely, saving you time and avoiding the challenges of navigating Spanish bureaucracy yourself.

When might you need a NIE number?

If you’re planning on spending any significant time in Spain, getting an NIE number is one of the very first steps you need to take. Without it, you’ll find that many important transactions simply cannot go ahead, and even straightforward tasks can quickly become complicated. The NIE serves as your official identification for almost all legal, financial, and administrative matters, so it’s best to secure it early to avoid delays later on.

Here are some of the most common situations where a NIE number is essential:

  • Buying or selling property – required for all property transactions in Spain.
  • Renting a long-term home – landlords and agents need your NIE to prepare contracts.
  • Opening a Spanish bank account – banks must record your NIE for compliance purposes.
  • Registering or purchasing a car – mandatory for vehicle ownership in Spain.
  • Setting up a mobile phone or internet contract – telecom companies will ask for it before activating your account.
  • Starting a job or establishing a business – necessary for tax and employment records.
  • Filing Spanish tax returns – whether resident or non-resident.
  • Applying for residency or handling immigration paperwork – required for official applications.
  • Accepting an inheritance or gift – used in legal documentation for asset transfers.
  • Signing utility contracts – electricity, water, and gas providers require it.
  • Moving to Spain – one of the first things you’ll need to get set up.

As you can see, the NIE is not just for people who plan on living in Spain full-time. Even if you visit only occasionally, own a holiday home, or have business interests here, you’ll likely need one. Getting your NIE early can help avoid last-minute stress when an opportunity arises, like finding your ideal property or needing to complete a time-sensitive legal process.

If you’re still unsure whether your plans will require a NIE, our English-speaking solicitors can talk you through your situation and confirm exactly what’s needed. This way, you’ll be fully prepared and able to move forward without unnecessary delays.

Lost or misplaced your NIE certificate?

If you’ve had an NIE before but can’t find the certificate, don’t panic, the number itself never changes and remains valid for life. You won’t need to start the application process from scratch; you just need to request a duplicate.

You can do this in person at a police station in Spain, but that often means booking an appointment, travelling, and dealing with the paperwork yourself. To save you the time and hassle, we can arrange a replacement on your behalf. With Power of Attorney, we can handle everything from securing the appointment to collecting the new certificate so you can get proof of your NIE quickly, without leaving the UK.

Bought property before 2004?

The current NIE system was introduced in late 2004, so if you purchased your Spanish property before then, there’s a good chance you were never formally issued with one. However, you will still need a valid NIE to sell, transfer ownership, or deal with related inheritance matters.

In some cases, property owners who have filed non-resident tax returns over the years may have been allocated a NIE without realising it. We can check this for you and, if necessary, arrange for the official certificate to be issued, saving you time and ensuring your sale or legal process can go ahead without delays.

NIEs for children

Children under 18 can also be issued a NIE, though the process is generally a bit more involved than for adults because they’re children. Spanish authorities usually require the standard identification documents plus additional paperwork, including a certified translation of the child’s birth certificate. They will also typically ask for a clear explanation of the reason for the NIE application, particularly when the child is under 18.

Requirements can vary depending on the region, and authorities may want to know why the NIE is needed, whether it’s for school enrolment, property matters, or inheritance issues. Preparing the documentation correctly is essential, as incomplete applications can cause delays or even lead to the application being rejected.

Do you have to go to Spain to apply?

Not at all. With Power of Attorney, our English-speaking solicitors can apply for your NIE number entirely on your behalf, so there’s no need to travel, take time off work, or queue at a police station. This is especially useful if you’re buying a property, handling legal matters, or just want to get everything sorted quickly without the usual stress or delays.

If you’re already in Spain, we can help by booking appointments, preparing all the paperwork in advance, and guiding you through every step of the process. Our goal is to make sure everything runs smoothly from start to finish, whether you’re applying remotely or managing it in person.

How difficult is the application process?

Applying for a NIE is usually straightforward, but there can be delays, particularly in areas with a lot of foreign residents, like Alicante, Murcia, Málaga, the Balearic Islands, and the Canary Islands. In these locations, it’s not uncommon to wait up to three months for an available appointment, which can be frustrating if you need your NIE quickly.

We work with multiple locations across Spain to secure earlier appointments for our clients and make the process faster. We also guide you through the forms, check your documentation, and make sure everything is submitted correctly the first time. Whether it’s your first NIE application, a replacement certificate, or a child’s NIE, we help make the process as stress-free as possible.

What documentation is required?

Before you submit your NIE application, it’s important to have all the necessary documents prepared. Having everything ready helps avoid delays and gives you peace of mind that nothing will be held up by missing paperwork.

The main documents you’ll need include:

  • A certified copy of your passport
  • A passport photograph
  • A legalised Power of Attorney (PoA)

As we said earlier, we provide the Power of Attorney, help you find a notary in your home country, and ensure it’s legalised for use in Spain, so you don’t have to worry about the complicated paperwork or legal formalities. This way, you can focus on your plans, whether that’s moving, buying property, or handling legal matters, while we manage all the administrative details.

If you’re applying for your NIE for the first time, need a duplicate, or are assisting a child with their application, we’re here to help. Our English-speaking solicitors in Spain will guide you through every step of the process, ensuring everything runs smoothly and efficiently, without any unnecessary delays.
